3. Privacy Notice

Psychodog Sounds (a trading name of IB There) ("we", "us", "our") acts as the data controller for personal data collected through this website. Our Data Protection Officer can be contacted at be.heard@psychodog.co.uk.

What we collect: When you contact us via our form, we collect your name, email address, and message. When you create a user account, we collect your name, alias, email address, phone number, and postal address. When you attend an event, your image may appear in photographs uploaded by the event host; these are displayed at the event and may, where an admin has selected them, appear on our public homepage gallery. Photos selected for the homepage gallery are retained beyond the standard 28-day cleanup until an admin removes them; all other event photos are automatically deleted 28 days after the event.

Lawful basis: We process your data on the basis of your consent (GDPR Article 6(1)(a)) — given via the consent checkbox on our contact form — and for the performance of a contract (Article 6(1)(b)) where you have booked our services.

Your rights: Under UK GDPR you have the right to access, rectify, erase, restrict, and port your data. You also have the right to withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal. Complaints: If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk.

Data sharing: We do not sell your personal data. We do not share your data with third parties except where required by law. Photos may appear on our public homepage gallery only where an admin has individually selected them via the event editor; you may request removal by contacting our DPO, and we will remove the photo within 24 hours.

4. Data Retention

All data collected is used solely for the purpose of providing the services required at your event. Non-gallery images will be retained for 28 days after the event, after which time they will be deleted from all Psychodog servers. Images selected for the public homepage gallery are exempt from this 28-day deletion and are retained until an admin removes them. You may request removal of any image at any time by contacting our DPO. Account data (names, contact details) is retained for the duration of our business relationship plus six years for tax and legal purposes, after which it is securely deleted. Psychodog Sounds will never sell your data, or use it for promotional purposes.

5. Scope of Services

Psychodog Sounds will provide professional sound reinforcement, lighting (where agreed), and music playback for the duration specified in the booking confirmation. This includes a reasonable selection of music suitable for the event type, a minimum of one hour for set-up prior to the agreed start time, and sufficient time for break-down after the event. Where a booking exceeds four hours, the DJ will receive a 30-minute rest break for every four hours worked, during which pre-recorded music will continue to play at a reduced level.

6. Payment

A non-refundable administration fee of £50 is required no later than 28 days prior to the event, unless specific dispensation has been agreed for short notice bookings. This fee secures your booking date. The full balance is payable on arrival at the event, prior to set-up commencing. Where the full balance is paid prior to the event date, the administration fee will be deducted from the amount due.

7. Cancellations

If you need to cancel an event, we will require 14 days notice, at which point you will be refunded any monies paid minus the administration fee. Any cancellations within 14 days of the event will result in 50% of the agreed fee to be paid, any monies above this amount (not including administration fees) already paid will be refunded, any monies outstanding will still be owed and will be pursued. Where possible, we will work with the event booker to accommodate a rescheduling.
If we need to cancel an event, we will endeavour to work with the event booker to arrange replacement services at no additional cost, where this is not possible a full refund, including administration fee, will be offered.

8. Client Responsibilities

The event organiser is responsible for providing: a safe and dry working area within the venue; access to the performance space at least one hour before the agreed start time; at least one standard 13-amp mains power supply within 10 metres of the performance position; a parking space within 30 metres of the working area for loading and unloading; and a meal break where the booking exceeds four hours. The event organiser must ensure that all guests behave in a safe and respectful manner toward the DJ and their equipment.

9. Equipment

Psychodog Sounds will provide all sound and lighting equipment necessary for the event. The event organiser is responsible for the full replacement cost of any equipment damaged by guests or venue staff during the event. Psychodog Sounds reserves the right to cease performance if equipment is interfered with or if the safety of the DJ, their equipment, or guests is compromised. In the event of third parties providing 'cold spark' machines these are to be located far enough from the DJ position as to not risk damage to equipment provided by Psychodog sounds.

10. Music Rights

In order to play recorded music in public the event venue must hold the relevant PPL/PRS licences. It is the responsibility of the event organiser to ensure these licences are in place prior to the event.

11. Limitation of Liability

To the fullest extent permitted by law, Psychodog Sounds' total liability to the event organiser for any claim arising out of or relating to the services provided shall not exceed the total fee paid for the event. Psychodog Sounds shall not be liable for any indirect, incidental, or consequential losses, including but not limited to loss of profits or loss of enjoyment. In the unlikely event of equipment failure, Psychodog Sounds will use all reasonable endeavours to provide replacement equipment or continue the service; if this is not possible, liability shall be limited to a refund of fees paid.

12. Indemnification

The event organiser agrees to indemnify and hold harmless Psychodog Sounds, its employees, and agents from and against any and all claims, damages, losses, and expenses arising out of or relating to the event organiser's breach of these terms, the conduct of guests, or the conditions of the venue.

13. Breach of Contract

If the event organiser fails to provide access, safe working conditions, or payment as agreed, Psychodog Sounds reserves the right to cancel the booking without refund or to cease performance. If Psychodog Sounds fails to attend the event due to a reason other than force majeure, a full refund of all monies paid will be issued. No additional compensation shall be payable.

14. Force Majeure

Neither party shall be held liable for failure to perform obligations under these terms due to circumstances beyond their reasonable control, including but not limited to illness, accident, vehicle breakdown, extreme weather, public health restrictions, fire, flood, or power outage. In such circumstances, the parties shall work together in good faith to reschedule the event. If rescheduling is not possible, any monies paid (excluding the non-refundable administration fee) shall be refunded.

15. Governing Law

These terms and conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
